Delivery Platform

For a coordinator, the biggest risk is memory,
so we turned it into a system

What separates a trader from a solutions partner is rarely how many factories they know — it's whether requirements are captured structurally, whether reviews leave a conclusion, whether deviations are closed out, and whether batch documents can be pulled up on demand. Unibest's Delivery Platform hardwires this chain into six stages, each with defined inputs, outputs, and owners.

The six-stage chain: from inquiry to delivery

The horizontal axis is the workflow; the vertical axis is accountability — each stage shows what AI does and what humans do.

01Intake & Structuring
AISystem handles
  • Parse unstructured descriptions from emails, RFQs, and chat logs into a standard requirement sheet
  • Auto-complete CAS numbers, synonyms, molecular formulas, and target-market registration requirements
  • Flag missing items (specs? quantity? documentation?) and clarify them in one pass instead of repeated follow-ups
HUMANHumans handle
  • Confirm the customer's true intended use and compliance constraints
  • Decide whether the item falls into a category requiring manual review
Output: Structured requirement sheet + gap checklist
02Assessment & Supplier Matching
AISystem handles
  • Preliminarily assess route feasibility, key steps, and impurity risk points from structure and specs
  • Match capacity, reaction types, and qualifications within the vetted supplier network
  • Provide cost ranges, lead-time ranges, and risk notes for humans to decide
HUMANHumans handle
  • Lead chemist confirms the route and acceptance criteria
  • Decide go or no-go — AI never says 'we can do it' on our behalf
Output: Assessment conclusion + recommended supply plan
03Dispatch & Outsourcing
AISystem handles
  • Send inquiries to matched plants and analytical labs on a uniform template with consistent spec terms
  • Collect responses and compare on a like-for-like basis (total cost including documentation and lead time, not just unit price)
  • Track response timeliness with automatic reminders on overdue items, so requirements don't sink in the inbox
HUMANHumans handle
  • Confirm production-priority scheduling with core plants
  • Negotiate and commit on commercial terms
Output: Comparison sheet + capacity confirmation
04Quality Data Return & QA Loop
AISystem handles
  • Receive QC results and raw spectra into the archive, checking conformance to the established method
  • Auto-create, assign, and track deviations through to CAPA closure — no reliance on memory
  • Generate COA and batch-record summaries per batch, mapped one-to-one to the data room
HUMANHumans handle
  • QA judges the nature of deviations and whether to release
  • Supplier audits and quality-agreement changes
Output: Batch document package + deviation records
05Dossier & Delivery Assembly
AISystem handles
  • Assemble route, analytical methods, impurity profile, batch records, and stability data into a technical dossier
  • Extract the registration-module content required by the target market and flag any gaps
  • Deliver the document set complete in one pass, avoiding 'one missing page, two more weeks'
HUMANHumans handle
  • Regulatory lead reviews and signs off
  • Make the final confirmation against the target market's regulatory requirements
Output: Technical dossier / delivery document package
06Visibility & Knowledge Banking
AISystem handles
  • Customers see progress in-portal: assessed / dispatched / in production / in QC / delivered
  • After delivery, write back supplier scores to feed the next round of matching
  • Reuse historical routes and documents from similar projects — the Nth order is faster than the 1st
HUMANHumans handle
  • Customer-relationship upkeep and repeat-order judgment
  • Make the final call on scoring and supplier elimination
Output: Transparent progress + supplier score library

AI trial run · three stages

Checking AI status…

Paste a real inquiry (email, RFQ sheet, chat log) and see the first three stages run: requirement structuring → technical review & supply matching → dossier gap check. Every run is logged for human review.

① Intake & structuring

Drop in the raw customer text — no need to clean it up.

Limited trial runs per 10 minutes; for a formal assessment please send an inquiry.
② Technical review & supply matching

Deterministic matching against in-house inventory first, then model judgement.

③ Dossier gap check

Check documents against the target market's registration pathway and surface gaps early.

HumanAI output is for reference only and is not a technical or compliance commitment. Route feasibility, acceptance criteria and release decisions take effect only after Unibest technical / QA and RA sign-off.
This run has been logged (capability, time, conclusion digest) and can be retrieved during human review.

Four rules we never cross

The place automation most easily runs out of control is overstepping its authority to commit. We put the boundaries up front.

AI never says 'we can do it' for us

Feasibility conclusions, lead-time commitments, and price commitments are always signed off by a human. AI only makes preliminary judgments and recommendations — it never commits externally.

Raw data is never re-fabricated

QC results, spectra, and batch records are archived as originals — only indexed and checked, never embellished.

Compliance red lines route to humans

Sanctioned regions, dual-use items, highly active and hazardous reactions are always auto-routed to manual review and never enter the automated flow.

Customer data is tiered under the CDA

Without a signed confidentiality agreement, no process, route, or real customer name is shown; all data-room access is fully logged.

Want to see this chain in action?

The most convincing proof isn't a description — it's sending in a real requirement. From submission to a technical assessment and commercial proposal typically takes three business days.

The platform capabilities described on this page are an external-facing description of Unibest's internal delivery process. The actual visibility scope and document-delivery checklist are governed by the contract.
